How to send a pre-filled Box Sign request from a HubSpot deal

Short answer: Add External IDs to the fields in your Box Sign template, map those fields to HubSpot deal properties in a Box Connector Quick Fill template, then click Create Sign Request on the deal’s Box Files card. Box Connector fills the document from HubSpot, and every signing action is logged on the deal’s timeline.

What it does

Reps send contracts, engagement letters or NDAs from the HubSpot deal with names, amounts and dates already filled in from HubSpot properties. Each signing action, such as viewed, signed or declined, is logged on the deal, and a HubSpot workflow can prompt the rep at the right stage.

Before you start

  • Plan: Box Sign Integration is on the Growth plan and up.

  • Box Connector is installed and the Box Files card is on your deal layout.

  • You have a Box Sign template in Box for the document you send most, such as a sales contract or engagement letter.

Step 1: Add External IDs to your Box Sign template

  1. Edit your Box Sign template in Box.

  2. For each field you want HubSpot to fill, set a unique External ID, for example “contact_firstname” or “deal_amount”.

  3. Use consistent names, then save the template.

Step 2: Create a Quick Fill template in Box Connector

  1. In Box Connector, go to Box Sign Templates and click Create Template.

  2. Choose the HubSpot object type: Deals. This controls which properties you can map.

  3. Select your Box Sign template. Box Connector pulls your Box Sign templates automatically.

  4. Map each External ID to a HubSpot deal property.

  5. Name it clearly, for example “Sales Contract - Deal”, and save.

Step 3: Send the sign request from the deal

  1. Open a deal in HubSpot.

  2. In the Box Files card, click Create Sign Request and choose your Quick Fill template.

  3. Review the pre-filled document, add recipients and send.

Step 4: Track signing in HubSpot

  1. Box Connector logs a HubSpot activity when the sign request is created, and another for each signing action, such as viewed, signed or declined.

  2. Open the Sign Requests tab in the Box Files card to see each request’s status and open completed documents.

Step 5: Prompt reps at the right stage

  1. Create a deal-based workflow triggered when Deal stage is any of Contract.

  2. Add Get Pinned Box Folder (“Contracts” type) to confirm the deal’s contract folder.

  3. Create a HubSpot task for the deal owner to send the Quick Fill contract.

Tips

  • Currency fields from deals and line items are formatted with the deal’s or line item’s currency code. Consider adding a currency code field next to the amount.

  • Box Sign events (such as signature received, completed or declined) can start HubSpot workflows on companies, contacts, deals and tickets, for example to move the deal stage when a contract is completed.

  • Box Connector also has a workflow action that sends a Box Sign request from a workflow (Box Sign Send Sign Request). Its inputs aren’t in the public docs yet, so ask us about it in a demo.

  • Box Sign is unlimited with Box Connector.
