How to collect client documents with a Box file request from HubSpot

Short answer: Create a file request on a Box folder, save it as a File Request Template in Box Connector, then use the Create Box File Request workflow action to apply it to each client’s folder. Save the File Request Link output to a HubSpot property and send it in an email. Clients upload with no login, and files land in their Box folder.

Plan needed: Box Connector Growth plan and up (dynamic file requests and workflow automation). HubSpot workflows need a HubSpot Professional or Enterprise subscription.

  2. In the Sharing pane, under File Request, click Create Link.

  3. Click Edit, give it a clear title (for example “Onboarding Documents”), and add short instructions.

  2. Paste the file request ID. Box Connector checks it and pulls the details from Box.

  3. Add a name and description, then save.

  2. Choose the file request option, select your template, and add recipient details.

  3. Send. Uploaded files are stored in the record’s Box folder.

    • Expires at (optional): the date the request stops accepting uploads.

Good to know

  • You can have only one file request per Box folder.

  • People can upload up to 500 files at a time, but can’t upload folders.

  • Each upload uses a 24-hour token. Very large or slow uploads that take longer won’t complete.

  • Setting Status to Inactive stops a file request from accepting new submissions.
