Box Connector for HubSpot
GUIDE
How to auto-create Box client folders from HubSpot deals
Short answer: Build a deal-based HubSpot workflow that triggers when a deal reaches a stage (for example “Closed Won”). Add Box Connector’s Create Box Folder action (or Copy Folder to copy a template), then add Pin Box Folder to Record so the new folder shows on the deal’s Box Files card. After that, it runs on every deal that reaches the stage.
Plan needed: Box Connector Growth plan and up (workflow automation and automated pinning), plus a HubSpot Professional or Enterprise subscription for HubSpot workflows.
What you'll build
When a deal enters “Closed Won”:
Box Connector creates a client folder in Box, named from the deal (for example “Acme Corp - 2026 Engagement”).
It creates standard subfolders inside it (for example Contracts, Onboarding, Deliverables).
It pins the client folder to the deal as a typed pinned folder, so your team sees it on the record and later workflows can find it.

Before you start
Box Connector is installed and connected. Installation needs a HubSpot super admin and a Box admin account with root read and write privileges.
The Box Files card is on your deal record layout. You set card placement during setup.
You know the Box ID of the parent folder where client folders should live (for example a “Clients” folder). Open the folder in Box and copy the number at the end of the URL. The ID of your Box root folder is 0.
Optional: a template folder. If you want every client folder to start with the same subfolders and files, build a template folder in Box and note its ID.

Step 1: Create a pinned folder type
Workflows can only work with typed pinned folders, so create a type first. Pinned folder types are available on every plan.
In Box Connector, go to Settings > Pinned Folder Types.
Click Add Folder Type, pick an icon, and name it (for example “Client”).
Save. The type is now available on contacts, companies, deals, tickets and custom objects.
Only one folder of each type can be pinned to a record. Pinning a second “Client” folder to the same deal replaces the first.

Step 2: Create a deal-based workflow in HubSpot
In HubSpot, go to Automation > Workflows and create a workflow from scratch.
Choose Deals as the object.
Set the enrollment trigger: Deal stage is any of Closed Won (pick the right pipeline).
Decide whether deals can re-enroll. For client folders, most teams leave re-enrollment off.

Step 3: Add the Create Box Folder action
Click + to add an action and search for Create Box Folder under Box Connector.
Fill in the inputs:
Folder Name: insert deal property tokens, for example Deal name plus Close date year. Folder names can’t contain “/“, “\” or non-printable characters.
Parent Folder ID: the ID of your “Clients” folder.
Upload Email Access: choose Open or Collaborators Only.
Collaborators and Role (optional): select Box users to add to the folder, such as the account team, and choose a role such as editor. You can also add External Collaborators by email.
Fail on Conflict: leave unchecked if you want the action to return the existing folder’s ID when a folder with the same name already exists. Check it if you’d rather have the workflow stop.
Save the action. Its folder_id output holds the new folder’s Box ID for the next steps.
Using a template instead: add Copy Folder in place of Create Box Folder. Set Folder ID to Copy to your template folder, Destination Folder ID to your “Clients” folder, and Optional New Name to the deal name tokens. Its ID of New Folder output works the same way in the next steps. With a template, you can skip Step 4.

HubSpot Object Record ID: the deal’s Record ID property.
HubSpot Object Record Type: Deal.
Box Folder ID: the folder_id output from Step 3 (or ID of New Folder from Copy Folder).
Pinned Mode: Add (keeps any folders already pinned) or Replace.
Pinned Folder Type: Client.
Type Conflict Handling: choose what happens if a “Client” folder is already pinned.

Step 6: Test and turn it on
Use HubSpot’s test option on a sample deal, or move a test deal to “Closed Won”.

Open the deal in HubSpot: the folder is pinned on the Box Files card under the “Client” type.
Turn the workflow on.

What can I add next?
Collect client documents: add Get Pinned Box Folder (“Client” type) and Create Box File Request with a File Request Template, then send the File Request Link to the client from HubSpot.
Share a folder with the client: add Add Box Folder Shared Link or Add Collaborations with the client as an external collaborator.
Move folders as the deal progresses: in a later workflow, use Get Pinned Box Folder and Update / Move Box Folder to move or rename the folder, for example into an Archive folder.
Tag folders with Box metadata (Enterprise): add Create Box Metadata Instance to apply a metadata template with values from HubSpot.

Troubleshooting
“Get Pinned Box Folder” fails: the folder must be pinned with a type. Untyped pins can’t be used in workflows.
Duplicate folders: leave Fail on Conflict unchecked so a rerun returns the existing folder instead of stopping, and keep folder names unique (for example, include the deal name and year).
Folder not visible to a user: Box permissions apply in HubSpot. Add the user as a collaborator in Box or through the workflow.
