How to pin existing Box folders to HubSpot records
Short answer: Open the Box Files card on any HubSpot record, click the pin option, choose a pinned folder type and pick the Box folder. To pin many existing folders automatically, use a HubSpot workflow with the Pin Box Folder to Record action and a Box folder ID.
Plan needed: Pinned folder types and manual pinning work on every Box Connector plan, including Core. Automating it with HubSpot workflows is Growth plan and up, and needs a HubSpot Professional or Enterprise subscription.
Why pin folders?
Pinned folders put the right Box folder on the record, so your team opens client files from HubSpot without searching Box. Box permissions still apply to every user.

Option A: Box folder IDs you already have
Create a HubSpot property, for example “Existing Box folder ID”.
Fill it in with a HubSpot import or by editing records.
Create a workflow with the trigger Existing Box folder ID is known.
Add Pin Box Folder to Record:
HubSpot Object Record ID: the record’s Record ID.
HubSpot Object Record Type: for example Company.
Box Folder ID: the “Existing Box folder ID” property.
Pinned Mode: Add, to keep any folders already pinned.
Pinned Folder Type: for example Client.
Type Conflict Handling: choose what happens if that type is already pinned.
Option B: folders named to match your records
If your existing folders sit under one parent folder and are named after the record (for example the company name), Create Box Folder can find them:
Add Create Box Folder with Folder Name set to the matching HubSpot property and Parent Folder ID set to the parent folder.
Leave Fail on Conflict unchecked. If a folder with that name already exists, the action returns the existing folder’s ID instead of creating a new one.
Add Pin Box Folder to Record with Box Folder ID set to the folder_id output.
Names must match exactly. If no folder has that name, the action creates a new one.
