How to create a Box transaction folder for each new listing

Short answer: Build a deal-based HubSpot workflow that triggers when a deal is created in your “Listings” pipeline. Use Copy Folder to copy a Box template folder and name it from the property address, then Pin Box Folder to Record with a “Transaction” pinned folder type.

What it does

Every new listing or transaction gets the same Box folder tree, such as Disclosures, Inspections, Title and Closing, named after the property. The folder is pinned to the HubSpot deal, so agents and coordinators open it from the record.

Before you start

  • Plan: Growth plan and up.

  • Build a template folder in Box with your standard subfolders (for example Disclosures, Inspections, Title, Closing) and note its folder ID.

  • Note the folder ID of the parent folder where transaction folders should live.

  • Create a pinned folder type called “Transaction” in Box Connector (Settings > Pinned Folder Types).

Tips

  • Keep folder names unique, for example property address plus listing date, so transactions don’t collide.

  • Later workflows can find the folder with Get Pinned Box Folder and the “Transaction” type, for example to request buyer documents or share closing documents.

  • Prefer separate folders per subfolder? Use Create Box Folder instead of Copy Folder, then add a Create Box Folder action for each subfolder.

Why copy a template instead of creating folders one by one?

Copy Folder builds the whole folder tree in one action, so every transaction starts with the same structure and any files in the template.
