The HubSpot contact and the client’s Box folder are matched or created automatically, and each upload lands in a processing folder inside the client’s Box folder. The form answers and the HubSpot contact data are written to the file’s Box metadata.

From there, a HubSpot workflow powered by Box Connector builds the client’s folder structure, checks the document against the type the client selected, and routes it to the right folder. Box AI catches the exceptions: if a document is unrecognized or unreadable, the workflow moves it to a “Needs Review” folder instead of filing it blindly.

Each file is renamed using the client’s first and last name, document type, year and employer, so every folder follows the same standard. Finally, the client’s Box folder is pinned to their HubSpot record, so anyone on the team who opens the record sees it automatically.

Compliance stays simple too. Files never leave Box. The team views them from HubSpot through a window into Box, so SWD gets the convenience of the CRM without copying client documents into it.
